AI Responsible-Use Standards for PR & Marketing
These are the standards for the use of artificial intelligence (AI) in all content produced on behalf of the college for the public, as shared through marketing materials and other college communications. The intent is to ensure that integrity, accuracy, authenticity, and consistency are maintained in the institution’s reputation and branding.
This applies to all staff, faculty, students, vendors, and affiliates of HCC who provide or assist with marketing and communications materials and content creation.
Visual Content
The use of AI-generated visual content, spe logos, photographs, videos, images, and graphic design, is strictly prohibited in HCC’s public-facing materials. While AI can create images that bear a likeness to existing logos and photographs, the content is consistently inaccurate, low resolution, and not compliant with HCC brand standards. Misuse of logos and other graphic elements could lead to legal action from other institutions whose artwork, often copyrighted, is similar to the AI-generated content.
Assistance and approval in creating visual content for external audiences must be provided by the PR and Marketing (PRM) Office and/or Digital Printing and Design Services (DPDS).
Written Content
The use of AI in written content is permitted in the instances shown below. This applies to advertising, web content, brochures, email campaigns, newsletters, and all other marketing communications:
- Brainstorming content ideas and themes
- Creation of headlines, captions, post concepts, and content drafts
- Editing for spelling, grammar, clarity, and tone
Review & Disclosure
- Human review of all content is required; review by a second person is recommended.
- Final approval by the PRM Office and/or DPDS is required.
- AI-generated content that has been approved must be accompanied by the following statement: “Content created with the assistance of AI.”
HCC has trained graphic designers in its Digital Printing and Design Services Office, who are able to assist in content creation. AI-generated content may be provided as inspiration, but DPDS designers will create the final documents that ensure HCC’s brand standards are maintained.
